We want to use the longtext of general task lists for a detailed maintenenance instuctions.

We now have the documents in word.

When we copy / paste the document from word into SAP, (actually also Word but started from SAP) We loose format, tables and pictures.

Is this normal and a limitation of SAP?

I tried it and I loose pictures also. You can attach the document but that does not seem to do much good. The attachment does not appear when the preventive maintenance work order is issued. If it is attached to the order (after the fact) it won't print either (out of the box). I bet that can be programed but attaching a document on many PM orders is not appealing. Let me know what you find out. Thanks.

Just a thought, create a document using the DMS. Within the tasklist, use PRT to attach the document to the operation. When the tasklist is pulled in the order it brings the attachment with it. You'll have to configure your print menu so that the attachments could be selected. We were not able to set it up so that we could just hit print. So when were printing we hit print preview and if documents are attached it tosses you over the the DMS and you print the attachments from there, then print the order.
its a kind of a round about way, but you still end up with a package (work order, attachments) in the end,

DMS will work, You can also create standard text and attach that to the work orders

Long texts should be uploaded in your task list. Drawings & documents can be attached to PM if they are created in the DMS.

I think you have to manage your migration from Microsoft word documents to SAP PM.

When saving a word document to RTF format first before importing into SAP solves most of the problems.

Table formating works fine then. With more complex tables it needs a liitle adjustment in the RTF file.

Pictures or bitmaps is still not possible.

We have linked all out Lockout and Tagaout Procedures, and Standard Operating Procedures and PM Task Lists with pictures, etc to all our equipment.
On the WO for the equipment, using the Enhancement Tab, one can print all attachments or the relevant ones.
Attached is a screenshot

Word DocDocument_Linking_to_Equipment.doc (70 Kb, 79 downloads)

Do you have a contact that can explain the PRT attachment and printing procedures you refer to in your attachment?

Yes this is normal. If you are going to use "Word" then you need to set the right margins and font. Some fonts will print really small. I have decided to write in all CAPS. The SAP protocol does not recongize all symbols including underlining and pictures. Set the margins to roughly 15 words a line (it will look funny in word), but when this is transfered (copy and pasted into your long text) it should print out fine. Setting the margins to the right spacing eliminates using of the "enter" key, as this will place a "tab" in the text. Which you will not see until printed out. See the other posts for attaching other documents to your maint plan which can include pictures.
