Welcome to Planning.
First, I suggest you to read a good handbook on Maintenance Planning, or Maintenance Engineering.

What kind of software? Usually a CMMS (Computerized Maintenance Management System) will do. A system where:
* all equipment, instrumentation, and facilities requiring maintenance is registered and master and history information is kept.

* with a inventory management module where the spare parts and other materials stored at the stockroom can be managed.

* A maintenance orders system is run including:
*** your clients (equipment/instrument/facility owners) create / approve maintenance requests,
*** Planners analyze approved maintenance requests and create/plan the orders to fulfill the applicable repairs.
*** Planners review/reserve available spare parts at the stockroom.
*** Planners create purchase requisitions for parts, rental equipment, and services required.
*** Planners / Schedulers sets execution dates for orders after applicable coordination
*** Maintenance Supervisors see assigned orders to his/her crew and distribute them to each maintenance technician
*** Technicians prints their orders, executes them at the field, get them approved.
*** Someone enter at the CMMS the costs & time data of the order for equipment history, KPIs, reports.
*** the order is closed at the system.
*** Separately the Planning area sets the time based PM (and calibration) schedules and when the system produce the orders they follow the process of assigning to the technician, printing, execution, closing.

* The CMMS also must provide reporting functionality to get the KPIs to analyze the performance of the Maintenance Organization
*** costs reports (total, actual vs planned, actual vs budget)
*** labor statistics (hours, costs)
*** order status, distribution of PM, Corrective, Emergency, etc.
*** compliance with schedules
*** MTBF,
*** backlogs
*** inventory control (levels, costs, open orders, cycle counts, etc.)
*** "what if..." analysis

* Maybe the CMMS provide other functionalities.

* Training? that depends on the CMMS system your company picks. The obvious source of training is the software manufacturer or representative. I also prefer to arrange with IS/IT a testing environment within the system where I can "play"/practice with the CMMS to self-train in the capabilities available.

Some companies design their own system using applications like MS Access or Excel but I did not support that idea.

Please feedback if I confuse you more or not.

Welcome zulfiqar,

what are the prerequisites in your company ?
How is your work organized at the moment ?
Are you using paper ?
Do you have any tools running (like EXCEL sheets, maybe a CMMS or even SAP) ?

1) I suggest maint planners should be given a profile for expert users, more powerful/can do more transactions compared to normal users.

2) Learn all functionalities of Plant Maintenance & Material Mgmt moduled in SAP, and attend training if available. By learning these, you will definitely learn what is maintenance planning. Alternatively, you can attend a maintenance planning or development course.

3) Learn or be trained on all inter-related functions in other modules eg Accounting for cost control, HR for Timesheet, etc.

4) Of course, you can read a book like Miantenance Planning & Scehduling to learn the rules for Plannning & Scheduling.

5) Moving on, read on turnaorund/shutdown planning if this is under your planner scope.

6) Learn or be brief on your maintenance budgeting, how maintenance budget for equipment, materials etc

May not seems as Maintenance or Planning but also include at your training curriculum "people skills":
* how to deal with "difficult" people
* negotiation skills
* stress management / how to work under pressure
* asertiveness

How remember 3 Ps rule which stands for:
P for Plant
P for Procedure
P for People
DO you agree these 3 PS affect availability & reliability?

When planning jobs you will plan who will do the job and at what cost; use actual maintenance crew and/or get outside contractors. Then you will need to make costs estimates and evaluate quotations received from the contractors. Are their quotes reasonable or they are charging you an arm and a leg?

In other words you will need tools (books? reference guides?, software?) to make/analyze costs estimates.

I'll give you planning mission and vision

- Vision is increase labor productivity
- Mission is provide or prepare a job to increase labor productivity

Why? Planner must eliminate waste time or delay to increase wrench time.
