I would like to know how you can measure and report Key Performance Indicators (KPIs) in SAP. Is this case this is a new reliability program and I would like to incorporate and calculate them by the data that I have in SAP. Thank you… Smiler

In our current Maintenance system, we track the backlog by Crew and Department (many crews), %preventive maintenance jobs completed on-time, % of jobs completed within scheduling window, along with several summary reports. The summary reports looks at the number of jobs in certain statuses during a jobs life; e.g. In-Planning, Ready to Schedule, Scheduled, Working. We are on track to implement the SAP PM module in January 2005 and we are beginning to develop our KPI's wants for SAP. There are 2 areas where data can be retrieved PMIS or BW. Both have to be setup before data can be turned into reports. Some canned reporting capabilities are MTBF, MTTR, Equipment with most Malfunction Orders, etc. From what I have found, SAP does not supply a lot of canned stuff, you have to determine what is important to your site and then build your reports from the data.

I agree that SAP PM does not supply a lot of canned stuffs which contributes to the fact that some users think it is not user-friendly. Thus to successfully use it the users somehow have to enter a lot of master data upfront eg equipment catalog profile for item records, equipment classes & types for analysis by groups. I wonder whether these databases are available from SAP or any DIN standards for easy adoption & adatptation to jumpstart or leapfrog in reaping benefits from SAP.

After master data entry, another important aspect is proper data collection for meaning ful analyses such as for KPIs. Remember garbage in garbage out. For example,
if breakdown field is not ticked, no malfunction times or item record are not entered, then the equipment history data are not comprehensive enpough to be analysed for failure analysis to improve equipment performance which is quite simply indicated or meanured by MTBF & MTBR.

For cost analysis, it is necessary to capture all cost elements in the work orders ie manhours, materials & external services for each work order to get the total cost of each work order. Some sites may use SAP PM for manhours & materials only while external services are raised directly thur SAP MM module. If this is practiced in SAP implementation, the data again is incomprehensive for analysis. In some sites, only maintenance dept use SAP PM and other works such as inspection and plant changes which are carried out by technical services are handled outside SAP PM so again resulting in incomprehensive data for complete analysis and for the complete bug ppciture.

Anybody can list down what useful results can be obtained from PMIS other than the standard analytses? In our case, user defined maint KPIs are obtained from BW (trying now) such as jobs planned & scheduled%, work schedule compliance%, jobs with [priority 1 &2 %, backlog in creweeks.

In view of the above I'm looking for a comprehensive manual on how to use SAP PM and other cross aplication modules preferably written by users who have used SAP successfully to manage and measure performance at plant, maintenance and equipment level respectively.

Thank you.
