I use PMC2000 CMMS at work. Sounds like we may move to Datastream soon.
I have a question about scheduling.
My view is that a PM needs worked on and then given back complete or incomplete at the end of the shift. We have a handful of daily PMs that will stay out for a day or two longer because of the machine still being used. But I'd like the aility to trap true completion rates on work achieved. I'd like to use a new type of work other than PM or work orders ( CM, in our system ), perhaps REM - for reminder. A planner may then sort for things in REM that the CMMS has created, and thereby be reminded before the PM schedule that there will be things needed coming up soon.
On the other side of the coin, I hear views of longer duration PMs getting used as reminders, a monthly PM kicks out so the supervisor or planner has a while to bring in parts for the work. Then work on the PM as tme allows.

So this leaves me to the question I want to post. Has anyone dealt with this issue and what in the CMMS is available for reminders? I have thought about using Outlook or similar calendar programs, but I'd rather have the history in the same CMMS database.

Greg - If I have understood your message then there are two issues here. 1) How to keep track of work that has not been able to be completed due to equipment not being made available and 2) How to handle situations where a significant lead time is required prior to actually performing a PM to enable required preparation

As regards the first issue - this type of work order should be able to be easily tracked in a typical CMMS becuase the work order should always have status 'outstanding' or 'in progress' until the work is actually complete. It should not therefore be possible to forget work orders of this type as they should always show up in reports of 'incomplete' work. Admittedly this does not tell how many times the work order has been scheduled, but not completed. To resolve this problem we use a simple matrix(outside CMMS) in which we have resources down the left side and shift slots along the top. We enter work order numbers into the appropriate cell on this sheet. When a techncian completes a work order he will complete it on our CMMS. Its then very easy for our planners to produce a simple metric of schedule adherence for a given point of time.

As regards the second point we are lucky that the vast majority of our PM program does not require a significant preparation time. When the situation has arisen we have sometimes put two PMs on our system. One to cover the actual work and another, scheduled to pop out in advance of this with a listing of the preparation work required.

We recently installed SAP as our CMMS. We used a home-grown CMMS previously. We were able to create subtypes of work orders that allowed us to use them as reminders. This capability is also available in SAP which is called MAINTACTYPE (Maint. Activity Type). Each order type (corrective, PM, inspection, etc.) can have their own Maintactypes making it very flexible for reporting and selection purposes.

We use work order status to manage and track them for progress reporting purpose eg
- active work orders are planned and scheduled but awaiting execution
- inactive work orders awaiting for resources like manpower, materials, equipment, tools etc or hold due to operational / HSE constraints. Secondly for scheduling, we can use the software itself if available or interface to other softwares like Microsoft Project or Primavera. TQ

We use Datastream with the work order status to track progress. Released PM's (status R)that stay in status released will pop-up as overdue after to weeks.
Work orders that are in progress receive the Status I. We also have the status Waiting on Parts and status Waiting on Paper Work, this has mostly to do with outsourced jobs.
