I did not use weekly frequencies. In my implementation of the CMMS I started in 1M (month) and continued to 3M, 4M, 6M, 1Y, 2Y, 3Y, and I think my highest is currently 5Y.

Any task to be repeated in less than a monthly period is carefully analyzed and passed to the operating routine. It is also included in the monthly PM to be checked by Maintenance.

With the number of equipment at my plant it would be almost unmanageable to perform weekly PMs with our maintenance crew.

We also did not have any weekly tasks but site people start to create work orders in CMMS to do function test of safety & emergency equipment. So have to accommodate it. Moreover, we need to record the failure history for these failure finding tasks. What do you think?

How does operations manage their operating routine, using a schedule in a spreadsheet? Can you capture failure finding task histories & equipment switching or duty/standby with running hours?

How does Maintenance confirm the weekly tasks are done by operations, via a filled checklist?

Darth: They are required to perform a cleaning setup before each batch, and if the next batch is for a different product (or under other factors) the cleaning is more detailed. After the cleaning they have to setup their equipment and before the start of the batch their supervisors inspect and give them the go-ahead. All events occurring in the room are recorded in the logbook (cleanings, batch production, and our maintenance orders). A comments column provides opportunity to record failures detected during the cleaning or the production. If problems are detected during cleaning or setup are reported using maintenance notifications.

Darth: Production / Packaging personnel record in logs books only, this gives us the date and time but no of the details of actions performed. However, Utilities Operators use detailed checklists for their daily, weekly, and monthly routines. Also they use a logbook to record all events at the area which sometimes may indicate to us what could have trigged a failure.

Hm.. Josh I think they discovered your "database" and since they have to record everything the easiest place is the ERP The problem is to get usefull data out, without the help of a highly specialized computer geek. Next thing what will come up is "sweeping the floor" in workorder format.

The problem with the weekly task is that you will need someone to hold track on it. It needs one ISO audit to shoot a hole in it.
It will go like this: "How do you guarantee that the next task will be performed in time if you are two days behind on the schedule".

Are you for or against the inclusion of weekly tasks in CMMS?

What useful data do you want to get without a special computer geek?
